Create Session Types

Set up session types in Bravely to define how clients book with you — including session format, duration, location, and rates.

Updated over 2 weeks ago

Session types are the foundation of Bravely’s booking system. They define how, where, and when clients can book with you — whether it’s a 60-minute online session, in-person couples therapy, or anything in between.

Step 1: Navigate to the Session Types Page

  1. From the top menu in Bravely Connect, click Appointments

  2. Click Setup (top right)

  3. Click + New to add a session type

Step 2: Add Session Type Details

Basic Details

Start by entering the basic Session Type details. Required fields are marked by *

Identifiers

  1. Session Name*

  2. Unique Nickname*

  3. Colour*

Appointment Details

  1. Location(s)*: Select from added locations (read: Add Locations)

  2. Duration*

  3. Recurring: Enable to allow both one-time and recurring bookings. You can set the cap for the session type by:

    1. Setting the frequency for the session type to repeat (e.g. weekly)

    2. Setting the maximum number of sessions that can be booked at one time

Calendar Note & Terms

  1. Additional Note: Add additional instructions or reminders

Inviting Naming & Privacy

  1. Hide Names: Booking invitations default to including both practitioner and client names. Enable this setting to hide the client name in booking invites:

    1. Replace client names with initials (e.g. "PractitionerName + RJ")

    2. Replace client and practitioner names with initials (e.g. "PN + RJ")

    3. Hide all names completely (e.g. "Session")

  2. Modify Title Invite:

    1. Add prefix, e.g. "(Tele) Practitioner + Client"

    2. Add suffix, e.g. "Practitioner + Client (Holland V)"

Advanced Settings

For more advanced needs, you can configure:

  • Custom availability: Set availability different to your regular office hours (see Set Availability)

  • Custom conflict checking: Select specific calendars to check for conflicts different to your usual calendars (see Conflict Checking)

  • Invite additional calendar: Similar to how BCC works, inviting additional calendars automatically adds the session event to those calendars. This is especially useful for supervised trainee sessions or calendars dedicated to room bookings.

Step 3: Add Session Type Rates

Depending on your setup, session type rates are handled differently for solo practitioners and clinics. Follow the steps below based on your account type to make sure your sessions are priced correctly and can be booked.

Solo Practitioners

Rates are managed in the Rates & Billable Items section under Payments.

  1. My Rates: Add all your rates, e.g. $75 for sliding scale rates, $150 for normal and $230 for couples counselling.

  2. Session Billables: Assign rates for the different session types

Clinics & Group Practices

If you’re part of a clinic, you must assign practitioners and set rates to your session types:

  1. In the Team Access & Billing section, assign this session type to relevant team members (e.g. all who offer couples counselling). Then hit Save.

  2. Go to AppointmentsRates & Billable Items (top right)

  3. Add billable rates for each practitioner (first tab)

  4. Select billable rates for each session type (second tab)

You've now successfully set rates for your session types.

Only Directors and Admin Plus users can add Session Type Rates.

💡 Tip: Setting billing rates per practitioner ensures accurate invoicing for each team member.

To update a rate, just head to Practitioner Rates — any changes made there will automatically apply wherever that rate is used.

For example, if you’re increasing your clinic’s $120 rate to $125, simply edit the existing $120 rate. If you want to offer both rates, just add $125 as a new one.

Step 4: Assign Session Types to Clients

Session types won’t be bookable until they’re enabled for each client. To do this:

  1. Go to the client’s profile → Setup tab (left sidebar)

  2. Click on Manage Session Types (top right)

  3. Enable the relevant session type(s) for the client

And that’s it! You’re now ready to offer sessions with the right structure, visibility, and billing in place.
