How Billable Rates Work in Bravely

Understand how Bravely’s billable rates system works and how session and client billing build on practitioner rates.

Updated over a week ago

Bravely lets you control how much each practitioner charges for different session types — and fine-tune those rates for individual clients if needed. This flexible, layered system gives you flexibility across your team while ensuring accurate billing.

Here’s how it works for:

Solo Practitioners

1. Practitioner Rates (Set First)

Start by creating a list of your own reusable base rates. For example, you might set $80, $120, and $240 as your standard rates — which you can then apply to any session type or client.

2. Session Type Rates (Choose from Your Rates)

Assign one or more of your base rates to each session type. For example, you offer two session types:

  • Individual: $80 (sliding scale) and $120 (standard)

  • Couples: $240

This helps you stay consistent and saves time when billing across different services.

3. Client Rates (Choose from Session Type Rates)

When you assign a client to a session type, simply choose the rate that applies. For example:

  • Chang is assigned the $80 Individual rate

  • Craig is assigned the $120 Individual rate and the $240 Couples rate

Later, if you raise your $120 rate to $125, Craig (and any other clients on that rate) will automatically be charged the new amount — no manual updates needed.

Clinics & Group Practices

1. Practitioner Rates (Set First)

Each practitioner has a list of reusable base rates that can be applied across session types and clients. For example:

  • Annie has rates: $80, $120, and $240

  • Jeff has rates: $60, $90, and $180

These rates are now available to assign to any session type or client Annie and Jeff work with.

2. Session Type Rates (Choose from Practitioner Rates)

Each session type is assigned a rate per practitioner, chosen from that practitioner’s rate list. For example:

Greendale Clinic offers two session types: Individual and Couples.

  • For Individual sessions:

    • Annie: $80 (sliding scale) and $120 (standard)

    • Jeff: $60 (sliding scale) and $90 (standard)

  • For Couples sessions:

    • Annie: $240

    • Jeff: $180

This structure gives you full control over what each practitioner charges for each service — while still using shared, pre-set rates.

3. Client Rates (Choose from Practitioner + Session Type Rates)

Once a client is assigned to a practitioner and session type, you can select the appropriate rate. For example:

  • Chang sees Annie for Individual sessions, and is assigned her $80 rate.

  • Craig sees:

    • Annie for Individual sessions, and is assigned her $120 rate.

    • Jeff for Couples sessions, and is assigned his $180 rate.

One year later, the clinic increases its standard individual session price to reflect rising costs. Annie simply updates her $120 rate to $125 — and Craig (along with all other clients using that rate) is now automatically billed at the new price, with no need to update each client manually.

Why This Structure

  • Consistency: You define rates once and use them everywhere

  • Flexibility: Override at any level when needed (e.g. sliding scales)

  • Efficiency: Updating a rate updates it everywhere it’s used — saving hours of admin

This system scales seamlessly whether you’re managing a small team of practitioners or a large, multi-site clinic.
