When a therapist leaves your clinic or transitions a client, transferring that client to a new practitioner is essential for ensuring continuity of care. This guide walks you through how to reassign practitioners, preserve historical context, and manage note access — all while maintaining Bravely’s privacy-first approach:
🔐 By default, new practitioners cannot access past notes. To allow this, you’ll need to assign them as a Supervisor to the previous practitioner.
👥 You must be a Director or Admin Plus user to assign practitioners.
Part 1: Transferring a Client
This section explains how to update the client’s assigned therapist, manage practitioner roles, and maintain booking visibility.
1. Open the Client’s Practitioner Setup
Go to Clients (top nav bar)
Select the client to be transferred
Click Setup (left sidebar) → Practitioner(s) tab
2. Reassign the Primary Practitioner
Hover over the current Primary Practitioner
Click Reassign
Choose the new practitioner and click Confirm
3. Adjust Primary & Additional Practitioners as Needed
There’s no difference in system permissions between Primary and Additional Practitioners, but we recommend using these labels for clarity:
The practitioner seeing the client most often should be marked Primary
To update, hover over an Additional Practitioner and click Make Primary
4. Notify Your Team (and the Client)
Inform the relevant staff about the change. If the client uses Bravely Home, they will also see the updated practitioner when booking — so it’s good practice to let them know in advance.
Part 2: Managing Notes During a Transfer
Bravely keeps notes private to the practitioner who created them. If the incoming therapist needs access to historical notes, they must be granted supervisory access.

1. Assign the New Practitioner as a Supervisor
In the same Practitioner(s) section
Hover over the old practitioner’s name
Click Add Supervisor
Select the new practitioner and click Add
You can assign more than one supervisor to a practitioner if needed.
2. Confirm Access
Once assigned, the new practitioner will see the client in their dashboard and have read-only access to notes recorded by the previous practitioner. Let involved staff know this change has been made to support transparency and safeguard privacy.

To give the new practitioner access to prior records:
Keep the old practitioner as an Additional or Archived practitioner
Assign the new practitioner as a Supervisor to the old one for that client
This gives the incoming therapist secure, appropriate visibility into the client’s history — while keeping Bravely’s privacy standards intact.
